Arora Hotel Manchester Booking Terms & Conditions Booking Terms and Conditions The following terms and conditions are designed to ensure that both parties to the contract clearly understand their contractual and legal obligations. Please read the terms and conditions before signing the contract, as this should answer any queries you may have. Charges and Payments 1. A credit application form is available on request. Terms and conditions relating to credit applications are printed on the reverse of the credit application form. All applications for credit are to be received at least 28 days prior to the event. Credit agreements are at the sole discretion of the Arora, and are not automatic, a credit facility will be confirmed to the client upon completed and satisfactory credit references. 2. Where credit is extended, all payments are to be made to the hotel within 28 days of the date of invoice 3. Should a deposit or pre-payment be required for any event, this will be specified on the Contract. Confirmation By The Client 4. All bookings are considered provisional until the client signs the Contract. Once the contract has been signed and returned to the hotel, all facilities and services reserved by the client will be subject to the terms and conditions of the contract. A provisional booking can be held for a maximum of 14 days. 5. The Contract must be returned by the Client and received by the Hotel within 5 working days of the date of issue or, if such time is not available prior to the date of arrival, within a maximum of 48 hours. If the Hotel does not receive the Contract within this period the Hotel reserves the right to release the provisional booking and re-let the facilities. 6. Numbers must be advised to the Hotel at the time of verbal confirmation and will be identified on the contract. Final timings, menus and any special requests must be confirmed to the Hotel at least 7 days prior to arrival. Amendment By The Client 7. Any amendments to the arrangements listed in the contract must be notified verbally to the hotel at the earliest opportunity and immediately confirmed in writing. 8. Should the number of guests attending, or the duration of the event be less than the contracted number or duration, the hotel reserves the right to levy a charge to compensate for any costs incurred based on the estimated price in respect of the contracted number or duration. 9. No charges will be made for any reduction in numbers less than 10% from those stated on the contract, providing the Hotel receives them in writing at least 14 days prior to arrival. 10. Should a reduction in numbers of 10% or more be made at any time prior to the Event, the Hotel will first endeavour to resell any facilities and services released, to a similar value. In the event that the released facilities and services cannot be re-sold then any reductions 10% or more shall be subjected to the Hotel cancellation policy. 11. Final numbers within the terms stated in Clause 9 and 10 must be notified at the Hotel at least 1 week prior to arrival. These will be the minimum numbers for which the client will be charged, unless stated differently on the contract. Cancellation By The Client Between 8 and 6 weeks prior to the event taking place 50% of the total booking value Between 6 and 4 weeks prior to the event taking place 75% of the total booking value Less than 4 weeks prior to the event taking place 100% of the total booking value Amendments or Cancellations By The Hotel 13. Should Arora, for any reasons, beyond its control, need to change the booking arrangements, then we will endeavour to offer the client alternative comparable facilities at no extra cost or liability. In these circumstances, the client may accept the alternative, or cancel the contract and accept return of the deposit or any monies paid in advance.
